September hampir berakhir.
Kenapa Q4 Adalah Masa Kritikal Untuk Rekod Gaji
Senarai Semak: 6 Perkara Yang Perlu Anda Audit Sekarang
1. 💰 Semak PCB (Potongan Cukai Bulanan) Sudah Betul
PCB perlu dipotong berdasarkan gaji semasa pekerja, bukan gaji asal kontrak.
Ingat: PCB Bukan Pilihan
- Bonus tahunan / bonus prestasi
Tip Untuk SME Kecil
Tarikh Penting Yang Perlu Anda Ingat
| Perkara | Tarikh Akhir |
|---|---|
| Remit PCB ke LHDN | 15hb setiap bulan |
| Bayar caruman KWSP | 15hb setiap bulan |
| Hantar EA Form kepada pekerja | 28 Februari 2027 |
| Hantar Borang E (manual) | 31 Mac 2027 |
| Hantar Borang E (e-Filing) | 30 April 2027 |
Mulakan Sekarang, Bukan Februari
Kasi setel awal, tenang kemudian.

September is almost over. The 9.9 sale rush has passed, orders are still coming in, and you're laser-focused on fulfilling demand before the festive season kicks in. But behind all that operational hustle, there's one part of your business that often gets pushed to the back burner — your employee payroll records and statutory obligations.
Borang E doesn't need to be filed until March next year. EA Forms aren't due until February. So why worry now?
Because payroll problems don't happen overnight — they accumulate quietly throughout the year. And if you start your audit now, you still have time to fix errors before they become LHDN penalties or staff complaints.
Why Q4 Is a Critical Window for Payroll Records
The final quarter (October–December) is when most SMEs will:
- Hire temporary or contract workers to handle festive season demand
- Pay out bonuses or sales incentives
- Introduce extra allowances — overtime, travel claims, commissions
- See staff resign or end their contracts
Every single one of these events needs to be correctly recorded in your payroll system. Get it wrong, and the EA Forms you issue in February will be inaccurate — leaving your employees to deal with the fallout when they file their personal tax returns.
The Checklist: 6 Things to Audit Right Now
1. 💰 Verify PCB (Monthly Tax Deduction) Is Correctly Computed
PCB must be calculated based on your employee's current salary, not their original contract rate. If there have been pay raises, interim bonuses, or new allowances introduced this year — make sure the PCB rates have been updated accordingly.
What to check:
- Is the PCB amount deducted each month consistent with the employee's tax bracket?
- Has PCB been remitted to LHDN by the 15th of each following month?
- Has any employee requested a change in deduction rate (Form TP1/TP3)? Has that change been applied?
PCB Is Not Optional
Employers who fail to deduct or remit PCB can face penalties under Section 107 of the Income Tax Act 1967. This isn't just a warning — it can result in criminal prosecution against the employer.
2. 🏦 Check That EPF, SOCSO & EIS Contributions Are Up to Date
All three statutory contributions are compulsory — and must be paid by the 15th of the following month (EPF) or 15th (SOCSO & EIS). Late payments mean penalties and impacted employee dividend entitlements.
Three things to verify:
- Log in to i-Akaun Majikan (EPF) — are all months from January to September 2026 fully settled?
- Check the PERKESO portal — are SOCSO and EIS contributions for all employees, including new hires, complete?
- Are there any part-time or casual workers who are eligible but haven't been registered?
3. Maintain Accurate Records for All New Hires and Departures
Every employee who joined or left must be properly documented — full name, IC number, start/end date, and total earnings during their tenure.
This matters because the EA Form must reflect the exact total salary paid throughout the year — even if the employee only worked for three months.
Immediate action: List all employees who resigned or ended their contracts from January until now. Ensure their payroll records are complete before removing them from your system.
4. Document All Bonuses and Special Allowances
Bonuses, commissions, and special allowances paid throughout the year must all appear in the EA Form. This includes:
- Annual bonuses or performance bonuses
- Travel allowances that exceed tax-exempt thresholds
- Cash gifts or items of monetary value
If you're planning to pay a year-end bonus in November or December, start calculating the PCB impact now — so you're not caught off guard by the additional cost in the same month you're also spending on festive inventory and operational overheads.
5. Prepare Your CP8D / e-Data Praisi Submission
Before Borang E can be submitted in March/April 2027, you need to submit CP8D via e-Data Praisi — a complete list of all employees and their income. This data must be consistent with your EPF records and EA Forms.
Start compiling this data now. Make sure that the names and IC numbers in your payroll system are an exact match with what's registered in EPF and SOCSO — a single wrong IC digit can cause your file to be rejected.
6. Make Sure Your Payroll Records Are Clean and Complete
Whether you use Excel, accounting software, or an HR system, make sure all payslips from January through September have been generated and saved. These serve as your internal records and as audit evidence if LHDN ever comes knocking.
Tip for Micro and Small SMEs
If you're still managing payroll on Excel, this is a good time to consider switching to a system that can auto-generate EA Forms and CP8D submissions. It saves time and significantly reduces the risk of human error as deadlines approach.
Key Dates to Keep on Your Radar
| Item | Deadline |
|---|---|
| Remit PCB to LHDN | 15th of each month |
| Submit EPF contributions | 15th of each month |
| Issue EA Form to employees | 28 February 2027 |
| Submit Borang E (manual) | 31 March 2027 |
| Submit Borang E (e-Filing) | 30 April 2027 |
Start Now — Not in February
Most SME employers only realise there's a payroll issue when employees come back with complaints about inaccurate EA Forms — and by then, deadlines are looming. This isn't just an employee problem; employers who issue incorrect EA Forms are also exposed to LHDN scrutiny and potential penalties.
Set aside one hour this week to review your payroll records from January to September. Identify the gaps. Fix them now.
Your business is entering its busiest quarter of the year — but clean, accurate payroll records are the foundation of a compliant and resilient operation. Settle it early, and you'll have one less thing to worry about when the real year-end crunch hits.
